DISASTER RECOVERY The thought of having to rekey all your data from scratch strikes terror into most managers. It is advised that the data in our programs be located on a server where it can be backed up every night. In addition, the data files that we use compress very well. It is recommended that you install a “ZIP” program such as 7-Zip, WinZip, or PKZip on your workstation so that you can make you own data backups as needed. We have had some of our customers find out the hard way that their data on the server was NOT being backed up. EVER! Making your own personal zip files is an extra level of safety and a very good idea. It is an alarming fact that over 70% of companies that loose all their financial data and inventory data, NEVER RECOVER! They go out of business due to an inability to ship orders or collect their existing accounts receivable. There is also a false sense of security in believing that the corporate backups will save you if your primary data is lost. That is only true if there is a second copy that is stored off site. For example, some of our customers keep backup tapes on site for only two weeks. After two weeks those tapes are picked up by an archive service that stores them in a fire proof, water proof vault. Now if the server and local tapes are destroyed, the data can be recovered from the off site vault and then it will only be necessary to rekey the last two weeks of transactions (the part that was stored locally and destroyed at the same time as the servers). That is manageable.
